How it works

How Your AI Receptionist Works

It is simpler than most people expect. This page walks through what happens on a call, what the AI is actually doing, how it is configured for your business, and how quickly it can go live.

The journey

One call, from first ring to booked job.

Nine steps happen automatically on every call. Your team does not touch any of them until the booking arrives.

01

Customer calls

Someone dials your existing business number, day or night.

02

AI answers instantly

The call is picked up in a couple of rings with your business greeting. No voicemail, no hold music.

03

Natural conversation

The caller speaks normally. The receptionist listens, responds and asks sensible follow-up questions.

04

Collects customer information

Name, phone number, address or suburb, and a clear description of what they need.

05

Qualifies the enquiry

It works out what type of job it is, how urgent it is, and whether you service that area.

06

Books or transfers

It offers real times from your calendar and books the job, or transfers the call to your team when a person is needed.

07

Confirmation SMS

The caller receives a text with the appointment time and details, so nothing is misheard or forgotten.

08

Transcript & call summary

Every call is written up: what was said, what was agreed, and what happens next.

09

Business receives the booking

The job lands in your calendar and inbox with the caller's details, ready for you to action.

Average call length is a couple of minutes. The booking, the SMS and the summary are all done before the caller hangs up.
Under the hood

How the AI actually works

Behind the conversation is a combination of speech recognition, AI language models and business rules. The system turns what the caller says into structured information, decides what needs to happen next, and responds in real time — while staying within the rules we configure for your business.

01

Understands the caller

The caller speaks normally. Their speech is turned into information the AI can interpret — the intent, the context and the details of the enquiry.

02

Interprets the situation

It weighs what the caller has said against your business information and the rules configured for the call.

03

Takes the right action

It can answer a question, collect more information, check availability, book an appointment, send an SMS or transfer the call.

04

Responds naturally

The response is converted back into speech and delivered immediately, so the conversation keeps flowing.

The AI is not given free rein to invent how your business operates. XR Media defines the information, rules, actions and boundaries it works within, then tests the receptionist before it goes live.

Training your AI

Built around your business, not a template.

Your receptionist is configured around the way your business actually operates. Before it takes a live call, we give it the information, rules and workflows it needs to handle your enquiries correctly.

Business information

Trading name, location, team structure and how you describe what you do.

Services

What you offer, what is included, and what you do not take on.

Pricing

Call-out fees and rates — or an instruction not to quote and book a visit instead.

Service areas

The suburbs and regions you cover, so out-of-area callers are handled correctly.

FAQs

The questions your team answers daily, in your words.

Tone of voice

Warm and casual, or formal and measured — it speaks the way your business speaks.

Booking process

Appointment types, durations, buffers and which calendar each booking belongs in.

Business hours

When you are open, when you are closed, and how after-hours calls are treated.

Transfer rules

Who gets transferred, when, and what happens if nobody picks up.

XR Media writes and maintains this configuration. When your services, pricing, hours or processes change, you tell us — we update it and test it again.

Integrations

It plugs into the tools you already use

Bookings, contacts and call summaries flow into your existing systems. We confirm exactly what is possible with your setup during the demo.

Call transfers

It also knows when not to answer

Some calls should always reach a person. You decide which ones, and the receptionist hands them over with the context already gathered.

Emergency jobs

Anything you class as urgent goes straight to a person.

Existing customers

Known numbers can be routed differently to new enquiries.

VIP callers

Key accounts and referrers can bypass the standard flow.

Specific departments

Accounts, service, sales or a named person, based on what the caller asks for.

After-hours escalation

Out of hours, only calls meeting your criteria are escalated.

Warm transfers

Your team is told who is calling and why before the handover.

Transfer rules can be as simple or as detailed as you like, and they can change at any time.

Frequently asked questions

The practical questions

Straight answers about numbers, setup, updates, transfers and availability.

Can I keep my existing phone number?
Yes. You keep your number. We set up call forwarding so calls reach the receptionist — either all of the time, or only when your line is busy, unanswered or outside business hours.
How long does setup take?
Once we have received everything we need from you — required business information, approvals, access and integrations — you are live and answering calls within 7 business days. If we miss that deadline, your first month is free. Discovery and research happen in the first day or two, configuration takes a few days, then we test together before any real calls are answered.
Can I update the information later?
Yes. Prices change, services change and hours change. You tell us what is different and we update the configuration. It does not change itself.
Can it transfer calls to my team?
Yes. You define the rules — emergencies, specific departments, named people or known callers — and the call is handed over, with context, to the right person.
Does it work after hours?
Yes. It answers 24 hours a day, including weekends and public holidays. You choose whether after-hours calls are booked, logged or escalated.
Can it book appointments directly into my calendar?
Yes. It reads live availability from your calendar or scheduling system, offers real times and writes the confirmed booking straight in.
Can it answer multiple calls at once?
Yes. Several callers can be handled at the same time, so nobody hears an engaged tone during a busy period.
What happens if it does not understand a caller?
It asks the caller to clarify. If it still cannot help, it follows your fallback rule — transferring the call, taking a message or arranging a callback.
Will callers know they are speaking to an AI?
It never pretends to be a specific staff member. We can have it state clearly that it is a virtual receptionist, and most businesses choose to.
